How to communicate effectively on the arrival and departure of employees

Are you welcoming new employees to your company or are others leaving and you don't know how to communicate in these situations? Together, we will see how to communicate effectively about the arrivals and departures of your colleagues.

If communicating about an event is a common situation within companies, communicating well about the arrivals and departures of employees is a rarer thing. However, a collaborator well integrated increases his will by 50% to stay in the company. And to make sure you don't miss the boat, good communication is necessary.

Upstream preparation

If you want to be sure that your employees learn about the arrival of new employees on time, you need to be prepared. If you have an internal Newsletter or an Intranet, announce arrival on this channel. You can opt for writing or for video. These two formats will allow the dissemination of information within your teams. The message will then be transmitted more quickly between your employees and they will not be surprised to see new faces arrive on their premises.

Just plan to do it well in advance — all the same not too much — to be sure that the information is flowing well. We recommend that you announce it 1 week or 3-4 days before the arrival of the last ones. You can also tease arrivals via the two channels mentioned above. But video will remain the preferred medium for this format.

This also applies to the departure of employees. In advance, it will be necessary to choose the appropriate moment to disseminate the information by having, of course, well defined the text.

A well-defined organization

Once you are ready to communicate, you need to get organized. Choose the people which will announce both departures and arrivals because the message that your employees will read or listen to will not be the same. If during a departure, there is no communication made by the company, the morale of others will be greatly impacted.

Remember that good communication is first and foremost about sharing information. Many companies want to communicate on these topics but do not send any message due to lack of time. Take the time to organize yourself well, it will show that your collaborators (both those who arrive and those who leave) matter to you.

Tools to communicate

If you want to communicate in an original way, several tools are available to you:

  • The video

More powerful than a simple text, it has a greater impact on your employees and allows transparency. You can also use the Video communication to send a welcome video to new employees if you are not there when the day comes. It is also a good solution to stand out from other businesses and facilitate the onboarding of new ones.

  • Pictures

Why not teaser the arrival of new collaborators using photos? Show photos of new people in your premises so that your employees can recognize them on D-Day. And for departures, do not hesitate to communicate in photos if you are organizing a particular event. You can then communicate this departure on your networks if you wish to improve your employer brand. Think about the fact that more and more businesses are doing it today, so why not you?

  • The godfather-godmother

If you want to successfully integrate them, why not ask your employees to become sponsors? An element that is increasingly used by businesses. This brings employees closer together and facilitates the integration of newcomers. Afterwards, if newcomers have a question, they will be able to communicate more easily via their sponsor rather than staying in their corner.
