Supporting employees in adopting Flex Office: Ubigreen and Cenareo equip SPIE's Tertiary division

27/8/2021

Many companies are choosing to opt for a hybrid work model: they offer their employees more flexibility in choosing their time and place of work. These new models raise the question of how to manage workspaces.

The hybrid work model at the Tertiary division of SPIE Industrie & Tertiaire made it possible to extract the following data: The occupancy rate of a dedicated office is around 60%.

Based on this observation, SPIE took advantage of the opportunity to set up a showroom on the Toulouse site to set up the Flex office, which consists in the absence of a dedicated office in the workplace.

To support this change, SPIE has designed new workspaces capable of accommodating a very variable number of employees. Every day, employees who come to the site set up with their laptop in a free place ready to welcome them.

Disseminate data in real time to guide employees

To support them in the process and to help employees adopt this change, SPIE turned to its partner IoT Valley, which designed a packaged offer combining solutions from Ubigreen and Cenareo.

“The success of the project depends on the interoperability of the two solutions. Ubigreen measures the actual occupancy of the various workspaces and Cenareo helps employees find free spaces to settle in.”

Anne Laure ARMAND, IoT project manager.

The solution Smartdesk by Ubigreen measures the occupancy of the various workspaces in real time. It detects free spaces according to the occupancy of offices and workrooms.

By combining Ubigreen data with communication solution on screens Cenareo, SPIE allows employees to:

  • Move to an unassigned workstation as soon as they arrive on site
  • Organize yourself in terms of the various activities during a working day

This device also makes it possible to organize communication campaigns on screens.

The solution put in place

  • 117 sensors Smartdesk on 99 workstations and 18 meeting rooms
  • 2 communication screens at the entrance of the space
